1. Information We Collect
We collect information in two contexts:
- Website visitors: Name, email address, phone number, business name, and any information you voluntarily submit through our contact forms, ROI calculator, audit widget, resource downloads, newsletter sign-up, or the AI chat widget.
- Client businesses: Business name, contact information, access credentials for third-party platforms, customer data processed through our automation systems (call records, email content, lead information, review data).
We may also automatically collect standard web log information (IP address, browser type, pages visited, referring URL, timestamps) via Google Tag Manager and Google Analytics.
1a. AI Chat Widget
The chat widget on this site is powered by Anthropic's Claude API. When you use it:
- Your conversation (messages you send and the AI's replies) is logged to our secure CRM along with a session identifier, the page you opened the chat on, and a timestamp.
- Your email address is stored only if you voluntarily provide it in the chat.
- Messages are sent to Anthropic's API to generate replies. Anthropic does not train on customer-submitted API data. See Anthropic's privacy policy for details.
- Conversations that do not result in a booking or email capture are automatically deleted after 90 days. Conversations tied to a booking are retained as a CRM record for up to 2 years.
- You can clear the conversation at any time using the trash icon in the chat header, which also deletes the server-side record for that session.
- Please do not submit sensitive information (Social Security numbers, payment card details, passwords) in the chat. The widget will detect and reject obvious sensitive-data patterns, but treat it as a general-purpose assistant rather than a secure channel.
2. How We Use Your Information
We use the information we collect to:
- Deliver and maintain your automation services
- Process and respond to client communications on your behalf
- Optimize system performance
- Generate reports and business reviews
- Communicate with you about your account and services
- Improve our services
3. Data Processing Through Automation Systems
In the course of providing our services, our systems may process:
- Incoming and outgoing phone calls and call records
- Email messages and responses
- Customer contact information and lead data
- Appointment and scheduling information
- Review requests and responses
- Social media posts and engagement data
- Website analytics and search ranking data
This data is processed solely for the purpose of delivering the contracted automation services and is not sold, shared, or used for any purpose other than service delivery.
4. Third-Party Services
Our automation systems integrate with third-party platforms including but not limited to:
- Google (Business Profile, Ads, Analytics, Search Console)
- GoHighLevel (client database and communication)
- Email service providers
- Text messaging and telephony providers
Each third-party service has its own privacy policy governing their data handling. We encourage you to review those policies.
5. Data Retention
We retain your data for as long as your account is active and services are being provided. Upon service termination, we retain data for 30 days to allow for export and retrieval, after which it is permanently deleted from our systems. Backups may be retained for up to 90 days for disaster recovery purposes.
6. Security Measures
We implement reasonable security measures to protect your data, including:
- Encrypted data transmission (HTTPS/TLS)
- Access controls and authentication
- Per-client data isolation
- Regular security monitoring
However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.
7. Your California Privacy Rights (CCPA and CPRA)
If you are a California resident, you have the right to:
- Know what personal information we collect about you, how it is used, and with whom it is shared.
- Access a copy of the personal information we hold about you.
- Correct inaccurate personal information we maintain about you.
- Delete your personal information, subject to certain exceptions.
- Opt out of the sale or sharing of your personal information. We do not sell personal information, and we do not share it for cross-context behavioral advertising.
- Limit the use and disclosure of any sensitive personal information we collect (we do not knowingly collect sensitive personal information as defined under CPRA).
- Non-discrimination for exercising any of these rights.
To exercise any of these rights, email info@westcoastautomationsolutions.com from the address on file and include the request in the subject line (for example, "CCPA Deletion Request"). We will respond within 45 days. We may need to verify your identity before fulfilling the request.
8. Cookies and Tracking
Our website uses essential cookies required for site functionality and analytics cookies set by Google Tag Manager and Google Analytics to understand aggregate visitor behavior. No advertising cookies or cross-site behavioral advertising tracking are used on our website. You can control or block cookies through your browser settings.
9. Children's Privacy
Our services are not directed to children under 13 years of age. We do not knowingly collect personal information from children under 13. If we become aware that we have collected such information, we will take steps to delete it promptly.

We may update this Privacy Policy from time to time. We will notify active clients of material changes via email. The "Last Updated" date at the top of this page reflects the most recent revision.
